Overview: Xtreme Xperience is a "Rain or Shine" event. Our primary goal is to provide a safe and professional track environment. Because weather forecasts can change rapidly, we do not make cancellation or rescheduling decisions based on weather reports leading up to an event.
1. Weather Forecasts and Scheduling
We understand that rain in the forecast can be concerning; however, our policy remains firm to ensure the stability of the track schedule:
- Forecast-Based Changes: Per our rescheduling policy, we do not move reservations to a different weekend or a future date based on a weather forecast.
- Same-Weekend Flexibility: If you are concerned about the weather, you may contact us at 866.273.7727 to see if an earlier or later slot is available within your currently scheduled weekend.
2. Safety Monitoring and Notifications
Our Management and Safety teams monitor local track conditions closely to ensure the safety of all participants.
- Real-Time Assessment: We begin assessing track conditions approximately two hours before the first scheduled check-in time each day.
- The 2-Hour Goal: We aim to notify guests of any major schedule impacts via text message at least two hours before their specific scheduled check-in time.
- Notification Method: All weather-related updates are sent via text message only to the phone number provided at booking. To update the phone number on your reservation, please email info@xxspeed.com with your order number and the best contact number for receiving text messages.
3. Arrival Requirements
Please plan to arrive at the track for your original scheduled check-in time unless you have received an official text message from Xtreme Xperience stating otherwise.
While we aim to provide as much notice as possible, please be aware that track and weather conditions can change rapidly. Our safety team continues to monitor conditions throughout the day, which may impact scheduled activities even after your arrival.
- Mandatory Arrival: You must arrive at your original scheduled arrival time.
- No-Show Policy: If you do not appear for your scheduled time slot and the event is held, your reservation is forfeited. In this case, you are not eligible for a refund, credit, or a future reschedule.
4. Weather Impact and Solutions
Our Safety Team continuously monitors track and weather conditions to ensure a safe experience for all guests. If the Safety Team determines that conditions are unsafe for your specific time slot, we will notify you immediately via text message with your available options.
- Available Solutions: If Xtreme Xperience officially cancels or impacts your scheduled drive time, we will provide options which may include:
- Delaying your arrival/check-in to a later time that same day.
- Rescheduling to a different time or day within the same event weekend.
- Moving your reservation to a future event date.
- Placing your reservation on hold to be scheduled at a later time.
- Official Cancellation Required: Please note that these solutions are only available if Xtreme Xperience has officially canceled your drive time. If the event is proceeding as scheduled, standard cancellation and rescheduling policies apply.
- Refund Policy: Per the terms agreed to at purchase, weather-related modifications, delays, or rescheduling do not result in a refund. We are committed to ensuring you receive a rescheduled date so you can complete your experience.
